Invite to Interviews

When you are ready to invite candidates to interviews, simply mark the candidates that you wish to invite. You can select multiple candidates and give them multiple ‘Appointment Times’ to pick from:

Below the candidate list to the right you will find your email templates. Here you can select the email you wish to send by clicking ‘Edit & send’. In this example we will choose ‘Invitation for 1st interview:

Fill in subject, place and, optionally, a short description. These fields will automatically be added to the email template and will also be shown in the link the candidates receive in their email:

Now, enter appointment details. If you have selected multiple candidates, this date and time will become the first appointment option. Select the date by clicking on the calendar and time by clicking on the clock:

If you have selected multiple candidates or if you wish to give a single candidate more options to choose from, then tick this box to add multiple times. You are now able to add your first appointment option and then add additional appointment options:

You can now choose whether the calendar appointment visibility in the candidate list should be set to private, project or public

‘Project’ is the default setting and means that users added to the project as project manager or as project participants are able to see the calendar appointment in the candidate list.

You can also choose how the calendar appointment should be added in your Outlook calendar once the candidate has accepted – private or public: 

Under 'Selected participants’, you can choose which users should automatically be invited to the interview once the candidate has accepted. All participants added will receive a calendar invitation in Outlook:


Click ‘Proceed’ to see and edit the e-mail that will be sent to the candidate. Here you can edit subject and content:


Remember to click ‘Save’, if you edit the content.


Click ‘Send’ to submit:



On the candidate list you will know see, that the candidate has changed status and is moved from the step ‘Received’ to the step ‘Interviews’:
