What is 'Appraisal and development plan'
The 'Appraisal and development plan' module makes it possible to facilitate the entire appraisal process, from creating an appraisal form to inviting employees for an interview and storing the data on the employee's profile.
Following the appraisal, a development plan can be created to highlight the areas the employee needs to focus on.
It is also possible to create goals for the employee and set a deadline for completion.
Setup
The setup and use of appraisals and development plans is done in the 'Questionnaire' and the 'Appraisal' modules.
Setting up Appraisal
Click on the 'Administration' menu item and then the 'Questionnaire' module.
Three standard appraisal questionnaires can be found here:
- Appraisal Starter
- Appraisal Basis
- Appraisal Advanced
Click on 'Preview' next to each of the questionnaires to see if the content is applicable to the way you conduct appraisals.
It is possible to edit the existing appraisal questionnaires as follows:
- Click 'Edit' next to the questionnaire you want to change
- Click 'Save'
Alternatively, it is possible to create a new questionnaire of the type 'Non Analytical Appraisal'.
Setting up Development plan
Click on the 'Administration' menu item and then the 'Questionnaire' module.

Click on 'Preview' next to each of the questionnaires to see if the content is applicable to the way you conduct appraisals.
It is possible to edit the existing appraisal questionnaires as follows:
- Click 'Edit' next to the questionnaire you want to change
- Click 'Save'
Alternatively, you can create a new questionnaire.
Setting up a time period for appraisals
- Click on the 'Administration' menu item and then the 'Appraisal' module
- Click on 'Add new appraisal'
- Add a title and a description
- Tick the 'Can be inherited' box, so the appraisal can be used in subdepartments
- Choose to and from dates (this is the time period in which you want the performance review to be held)
- Upload an instruction document if needed
- Select the questionnaire to be used
- Click 'Configure questions' if there are some questions that only the employee or manager should answer
Appraisal invitation
- Go to the employee list and tick the box next to the employee(s) to be invited
- Click on the 'Communication' tab and select 'Appraisal invitation' if you want to invite them in Outlook. Alternatively, select 'Appraisal invitation (without time)' if Outlook is not to be used
- Select the appraisal form with the right time period in the dropdown list
- Specify the time period for completion in the 'Pre meeting period' boxes – these apply to both employee and manager
- Enter date and time for the appraisal meeting
- Enter the location for the performance review meeting
- Enter the duration of the performance review meeting
- Click 'Add'. Note: If multiple employees are selected, repeat the above steps so that there are meeting times for all the selected employees (works on a 'first come, first served' basis)
- Click 'Proceed'
- You will now see a preview of the email before it is sent to the employee. If you want to make changes, click 'Edit'
- Click 'Send'
Employee completes the appraisal
The employee(s) receive the email with a link to the appraisal form and are asked to approve the meeting time by marking it and clicking 'Save'.
Please note: This works on a first come, first served basis. If multiple employees are invited, they will each be presented with only the available times – times slots that are already taken by other invited employees will not be shown.
Once a time slot has been picked, employee then clicks 'Continue' and can now fill out the form.
The employee can click 'Save' to be able to return to the form at a later time and click 'Send' when finished.
Manager completes the appraisal
- Find the relevant employee profile
- Click on the 'Appraisal' tab
- Click on the three dots to the right of the active performance review and select 'Fill appraisal form'
- Click 'Save' to be able to return to the form at a later time. When you have completed the form, click 'Send'
It is then possible for the manager to access statistics for the appraisal forms, view reports and download the completed forms as PDFs.
