Quality metrics and time measurements

The quality metrics ”First contact” and ”Project duration” will track your pace in the recruitment process. 



First contact 

This metric will count the time that pass from received application until the candidate is contacted for the first time in some way from ReachMee. The confirmation email that is sent automatically to the candidate after the application was sent is not included but except that, all communication from ReachMee counts: all emails, calendar invitation, assessment invitation, and when you register telephone events. 

 

Example: 

 

Your definition of this goal is that you should get in contact with the contact within 10 days after application.   

 

Day 1. A candidate applies to one of your projects. The candidate receives the confirmation email right after applying.  

 

Day 8. One of the recruiters looks at the application and sends an email to the candidate to suggest a day and time for interview.  

 

The candidate was contacted within 10 days, 8 days to be precise. In this case we will count this as a candidate where you met the goal. Either you meet the goal or not for candidates and it doesn’t matter if you do it within 1 or 9 days if the goal is set to 10. 

 

Keep an eye on the telephone contact 

As all emails are tagged automatically, you don’t need to do anything to track this in a good way. A challenge is all that communication you do outside of ReachMee...  

 

To keep all information about the candidate in one place, we recommend that you register also telephone contact with a candidate. That simplifies the process especially when you’re many people working with the recruitment. One way to make this workflow easier is to keep a separate folder for the candidates you contact in other ways and add the process event “Contacted by phone” to this folder.  

 

This is how you add a folder to your standard recruitment process that will track telephone contact: 

 

  1. Go to Admin pages 
  2. Select Templates > Recruitment process 
  3. Select the template you use as your standard process 
  4. Click ”Edit template” 
  5. Click ”Create new folder” 
  6. Name your folder and check the checkbox to make folder common 
  7. Go to the tab ”Actions”  
  8. In the dropdown ”Process event”, select ”Contacted by phone” 
  9. Save folder 
  10. Now you can drag and drop your folder to the right place in the folder structure 
  11. Update template. Don’t miss this step–the changes won’t be added to the recruitment process otherwise! 

 

You can also add this process event to an existing folder in your current recruitment process. In this case you just edit a folder instead of creating a new one and follow the same steps as described above. 

 

Project duration 

This metric will count the time that pass from the date the project was first created until the date when the project was closed.  

 

Example: 

 

You think that all projects should be closed within 90 days from project start and has set that as your goal for Insights. 

 

You create two separate projects for different recruitments on the same day. One of the projects is closed on day 76 and the other project is closed on day 108. When filtering on a time period in Insights, you will include the projects that were closed within the selected time frame.  

 

In this case you reached your goal for 50 % of the projects and will get the score 5 out of 10.
