Preparations before inviting candidates

Start by moving the relevant candidates to the correct process folder, for example, the “First interview” folder:

Make sure that all candidates who will be invited for an interview have been placed in the correct step of the process, before you create the time slots in the calendar:

Then, select the folder you just moved the candidates to, to start creating interview slots:

Creating new time slots

Here you can select the process folder that the time slots will be created for:

Please note: The time slots should be added for the same process folder you moved your candidates to.

Now, you can start creating time slots for the interviews in the calendar. Click anywhere on the calendar and select “Add” to create a new time slot:

Fill out the start time and the end time:

If you would like to conduct a group interview, increase the maximum number of candidates here:

However, if you plan on conducting individual interviews, the value should be set to 1.

Then, select a contact person for the interview. By default, your own contact details will be prefilled,
but you can change contact person by entering a new name here:

Finally, select a location of the interview:

or create a new one if your location is not available in the list:

Fill out the details, and click on “Save” to go back to the overview of the new time slot:

Once the first time slot has been created, you can easily copy it by clicking on it and selecting “Copy to sidebar":

The copied time slot is visible here:

Now, drag and drop the slot to the desired spot on the calendar to create more time slots with the same location and contact person:

Please note: You need to create at least as many time slots as there are candidates who get invited.

All the time slots that you have created can be exported to your calendar by clicking on the time slot and selecting: “Add invitations to my calendar”:

Once you have created all the time slots you need, go to the interactive booking guide by clicking here:

Interactive booking guide

The interactive booking guide lets you finalize the calendar booking and invite the candidates to the interview slots that have been created.

In the first step, you can choose to have the candidates booked into a specific time slot by clicking here:

Alternatively, you can also let the candidates choose an available time slot themselves:

As soon as a candidate chooses a given time slot, it automatically becomes unavailable for the rest of the candidates.

Then, decide which candidates should be invited to the available time slots. You can select candidates from a specific process folder here:

Once the folder has been selected, the candidates’ names appear here:

In the second step, you can double-check the time slots you have created in the calendar and, if necessary, add or adjust the time slots:

In the third step, you can preview and adjust the invitation email that is sent to the candidates. You can, for instance, add information about how the candidates should proceed to cancel a booked interview:

Finally, send out the invitations by clicking here:

View for the candidate

When a candidate gets an invitation to the interview for which they can choose available time themselves, they receive the following email message:

The link redirects the candidates to this page where they can select a time for the interview:

Once they have selected a time slot and saved their choice, that time is no longer available for the other candidates.

Invitation status

In Reachmee, you can see the status of each calendar invitation in the candidate list, by clicking on the process step:
