Rejection, withdrawal and change handling

When something goes wrong in the signing process 

Even if a digital hiring process reduces the risk for errors, it can still happen. The candidate or some other signing party may react on some formulation in the document, or the process can be cancelled at a late stage. This chapter describes how you can handle the exceptions to a normal flow. 


What happens after a document has been sent? 

Once a document has been sent for signing, it’s no longer possible to access the steps for selecting template or adding information. When clicking a candidate, you will instead go directly to the confirmation page where you can follow the status of the signing process. The status is updated as each added party adds their signature to the document. 


How to change a contract that’s been sent

If a sent document should be updated for some reason, it has to first be revoked. When a document is revoked, all parties will receive an email notification and the candidate document is reopened. Now it’s possible to change everything from the Select template step and onwards. Please note that once all parties have signed, it’s no longer possible to revoke the contract.




When a party rejects to sign 

If a signing party for some reason does not want to sign, they can choose to reject with a comment, or just ask a question. If they reject, the status in Hire will be updated to Declined and all signing parties and the user who created the document will be notified by email. The comment from the rejection will be shown along with the new status on the confirmation page. 




To make changes and resend the document for signing, the document must first be revoked (see How to change a contract that’s been sent).
