Hire workflow

Hire is a functionality available in ReachMee that gives you a seamless digital workflow for creating and signing contracts with new employees. But how does it work?

Send a candidate to Hire

The first thing you need to do to is to send a candidate to Hire. This can be done from within the candidate list in the project.

When you go to Hire you will now see that this candidate has been added.

In this view you can sort and filter candidates by name, status and projects.

Apply template

The next step is to apply a template to the candidate. This template is the base of the document to be signed. Read more about Hire templates here.

To apply a template to a candidate, click on the candidate to get to the apply template view and there you can select a template to apply.

Add content

The next step is to add any content to the contract that wasn’t in the candidate profile or the project definition.

In this case the address, social security number, salary, number of vacation days and admission date.

Send for signing

The last step of the Hire workflow is to send the contract for signing.

Here you can choose what signing methods should be available. Depending on your set up the following methods are available to choose from:

  • BankID
    • The signee sign using their BankID. We currently support this in Norway, Sweden and Denmark (NemID)
  • SMS
    • The signee enters their mobile phone number and get a verification code that they enter on the site to sign the document

You can also choose what order the parties are signing in.

The document will be sent to parties in turn means that the first person on the list receives the document first and when they have signed the document is sent to the next person in the list. This is a good option to use when you want to send the document first to an internal signer to verify the document before it’s sent to the candidate. When this option is used you can easily drag and drop the parties in the list to make sure they are in the correct order.

The document will be sent to all parties at once means just that. The document is sent to everyone as soon as you hit the send for signing. This is a great option if it doesn’t really matter what order the document is signed.

You can also add and remove parties that need to sign the document.

And finally you can preview the finished contract and send it for signing.

When all the parties have signed the contract the status in Hire changes to “Completed” and the status of the candidate in the project is changed to “Hired”
